Channel Manager for Attractions and Ticketed Experiences

A tour's capacity is a short list. Yours is a grid — and the failure happens at a turnstile.

Most channel management advice is written for tour operators and quietly assumes a business with a handful of departures a day. If you run a museum, a monument, a viewpoint or anything with timed entry, that advice underestimates your problem by roughly two orders of magnitude.

This covers what actually changes, what to look for, and — because it matters more than the rest — the point at which a channel manager stops being the right tool and you need a dedicated ticketing system instead.

Why capacity is a grid, not a list

Take a twelve-seat tour running twice a day. That is 24 capacity units to keep track of — a short list a person could hold in their head.

Now take an attraction open eight hours, selling fifteen-minute slots, fifty people per slot. That is thirty-two slots and 1,600 capacity units a day — sixty-seven times the tour. Add four ticket types and you are maintaining 128 priced cells every day, or over eleven thousand across a ninety-day season.

That is the whole reason attraction requirements diverge. It is not that attractions are bigger businesses — plenty are not. It is that the thing being synchronised is a grid rather than a list, and anything that works by hand at 24 units stops working entirely at 1,600.

Why sync latency bites harder

Real-time sync means different things on different platforms — some push instantly, some check periodically. For a tour operator a five-minute gap is usually harmless. For you it is not.

At 1,600 places across 480 trading minutes, an attraction at capacity is selling more than three places a minute. Which makes stale availability arithmetic rather than bad luck:

  • A 1-minute stale window — up to 3 places sellable twice
  • A 5-minute window — up to 17
  • A 15-minute window — up to 50, which is an entire slot

And the consequence lands differently. A tour overbooking is an awkward phone call the night before. A slot overbooking is a family at your entrance holding a valid ticket for a slot that is full, in front of everyone queuing behind them.

Industry reporting puts the benefit of doing this properly high: attractions using API-first connectivity are reported to reduce overbooking incidents by an average of 94%. Treat the exact figure as indicative, but the direction is not in doubt — manual capacity management fails at volume.

Which OTAs matter for attractions

Your channel mix differs from a tour operator's, because the ticket-led platforms matter more than the experience-led ones.

The practical implication: check that any platform you are considering actually connects to the ticket-led marketplaces rather than only the tour-led ones. A channel manager with excellent Viator support and no Tiqets connection is optimised for somebody else's business.

Pooled inventory vs allotments

The general case against allotments applies with more force at slot level, because splitting fifty places three ways leaves you turning people away from a slot that is visibly not full.

Pool by default. But there are two attraction-specific exceptions worth making deliberately:

  • Walk-up capacity. If you admit visitors at the door, hold back a stated number per slot rather than whatever survives online selling. A venue that sells out online and turns away everyone who arrived in person has made a decision without meaning to.
  • Group and school bookings, which are usually agreed in advance and need protected space in specific slots.

Both are commercial choices with a number attached, which is exactly how an allotment should be used — rather than as a workaround for a system that cannot keep availability straight.

Validation at the door

Distribution gets you the booking. The door is where the operation succeeds or fails, and it is the part tour-shaped software handles least well.

  • Scanning has to work offline. Thick walls, basements, remote sites — if validation needs a live connection and yours drops, you are choosing between a queue and admitting people unchecked. Dedicated systems treat offline capability as standard; general booking software frequently does not.
  • Throughput matters more than features. Two seconds per visitor is fine; eight seconds builds a queue that becomes a review.
  • Every marketplace ticket format needs to work, and your door staff need to have seen each one before opening day.
  • Redemption must be recorded, or you cannot answer a later dispute about whether somebody attended.

Worth knowing what visitors now expect: industry research cited by attraction software vendors puts the share of guests expecting a fully digital journey, including mobile-native entry, at over eight in ten. A venue still printing vouchers is working against that.

Reporting and reconciliation

With several marketplaces each on their own commission and settlement cycle, the monthly job is bigger than a tour operator's and the numbers you need are different.

  • Net revenue per channel per slot type, not just per channel. Marketplaces frequently skew toward particular times, and a channel that looks marginal overall may be filling your quietest hours.
  • Redemption rate by channel. Marketplace tickets go unredeemed at different rates, and that changes their real value to you.
  • Slot utilisation across the day, which tells you where to add capacity and where to stop offering it.
  • Walk-up versus online share, so your held-back capacity is set from evidence rather than habit.

Reconciling payouts covers the discipline; the attraction-specific addition is that unredeemed tickets complicate it, so agree upfront with each platform how those are handled.

What to look for

  1. Can it model your slot grid — intervals, per-slot capacity, multiple ticket types — without workarounds?
  2. How fast does availability actually propagate? Ask for the number, not the word "real-time".
  3. Does it connect to the ticket-led marketplaces your visitors actually use?
  4. Can capacity be pooled, with deliberate holdbacks for walk-ups and groups?
  5. Does validation work offline at your entrance, at your busiest hour?
  6. Does reporting break down by channel and by slot?

When you need a ticketing system instead

The genuinely useful part of this page, and the part most vendor content avoids. Booking platforms and attraction ticketing systems are different categories, and the industry acknowledges it — one major booking platform's own attractions guide notes that a well-known peer is "fundamentally a tour and activity platform rather than a dedicated attraction ticketing system," with timed entry and slot management less prominent than in purpose-built tools.

You need a dedicated ticketing system if any of these are true:

  • You have gates or turnstiles requiring hardware integration and access control.
  • You sell memberships or season passes that need recognising at entry.
  • Your front desk sells at volume and must draw from the same inventory as online.
  • You run school and group programmes with their own booking rules and invoicing.
  • You need offline-capable scanning as a hard requirement rather than a nice-to-have.
  • You are moving thousands of visitors a day through timed slots.

In that case the architecture is different: the ticketing system owns your inventory, and channel management connects it outward to marketplaces. You are not choosing between the two — you are choosing a ticketing system that distributes well.

Ask for that number in seconds, because at three places a minute the difference between one minute and fifteen is an entire slot.
